What this area is for
Survey Management lets authorised managers create questions for staff, send surveys to the right group of employees, and review their answers. Use it for staff satisfaction, ideas, quick polls and improvement feedback.
Ordinary staff do not use this admin area. They answer surveys from their own Surveys menu.
You build and manage surveys here. Staff fill them in from their own Surveys list.
Survey types and statuses
Types
- Public — you can see who answered and what each person said. Use this when you need named feedback or follow-up.
- Private — answers are not linked to names in results or exports. You see totals, averages and comments without identifying individuals.
Statuses
- Draft — not visible to staff yet. You can still change the title, questions, departments and settings.
- Active — live. Eligible staff can see it and submit answers.
- Inactive (Closed) — no longer accepts new answers, but results remain available.
Step-by-step: create a survey
- Open Survey Management with survey access.
- Select the Create Survey tab.
- Enter a clear survey name.
- Optionally add a short description.
- Choose Public or Private.
- Choose Draft while building, or Active only when staff should answer.
- Choose who can see it: leave departments unticked for all staff, or tick one or more departments.
- Optionally tick Allow multiple responses if the same person may answer more than once.
- Select Add Question for each question: Text, Multiple choice, Rating, or Yes / No.
- Mark important questions as Required if staff must answer before they can submit.
- Select Create Survey to save.
If you saved as Draft, open Edit, set status to Active, and save again. On the Surveys list, a Publish button on a draft survey takes you straight to Edit so you can activate it.
Surveys list actions
- View — read-only look at the title, description and questions.
- Edit — change settings, departments and questions.
- Results — open the results page.
- Publish — shown on Draft surveys; opens Edit so you can activate.
- Close — shown on Active surveys; stops new answers.
- Activate — shown on Inactive surveys; opens the survey again for answers.
- Delete — permanently removes the survey after confirmation.
Reading results
- Go to Dashboard or Surveys.
- Find the survey.
- Select Results.
On Public surveys you can see named respondents. On Private surveys you see totals, averages and comments without names. Use Export for Excel reports covering overview, responses, question results or a full workbook.
Important notes
- Staff only see surveys that are Active and match their department rules.
- Closing a survey keeps results on file for audits and reviews.
- Delete permanently removes the survey — use it only when you are sure.
Questions people ask
What is the difference between Public and Private?
Public shows who answered. Private keeps answers anonymous in results and exports while still showing totals and comments.
Why can staff not see a survey I created?
Check that the status is Active, and that their department is included or that no department restriction was set.
Can I reopen a closed survey?
Yes. Use Activate on an Inactive survey, or Edit the status back to Active.
Where do I download Excel results?
Open the Export tab and choose the report type you need.
