Use the Employee Time Clock

How staff clock in and out with their own PIN, what location checking does, and the rules everyone should follow.

What this area is for

The Employee Clock-In page is where staff record the start and end of a work session using their own PIN. Managers do not clock people in from here; they review the results in Daily Attendance.

Each attendance session normally records the employee name, the clock-in time, the clock-out time once work ends, the total duration, the date, whether the session is active or completed, and any note a manager has added.

Step-by-step: clock in or out

  1. Open Employee Clock-In from the Time Clock bar, or from the employee Time Clock welcome page.
  2. Select Enter Your PIN.
  3. Enter your PIN, which is four to six digits, and select Continue.
  4. On the next screen, check the location status if your home uses location checking.
  5. Select CLOCK IN to start work, or CLOCK OUT to end work, whichever button is shown.
  6. Wait for the confirmation message on screen.
  7. If the button is blocked because of location, move closer to the workplace or select Refresh Location, then try again.

Location checking

Some employees must be within an allowed distance of the workplace to clock in or out. If they are too far away, the screen shows that the action is blocked until the location improves.

Some administrator-linked profiles do not require location, and the screen indicates when the location requirement is bypassed.

Rules for staff

  • Use only your own PIN.
  • Never share your PIN with anyone else.
  • Never clock in or out for another person.
  • If your PIN is not accepted, or the screen shows the wrong status, contact an authorised manager on duty.

A PIN is like a bank card PIN. Managers should never ask for it, guess it, or write it down where others can see it.

What happens next

Once a session is recorded, it appears in the manager's Daily Attendance view, first as an active session and then as a completed session after clocking out. Managers compare attendance with the rota and add notes where something needs explaining.

Attendance and the published rota are related but not always identical, so figures are always reviewed before they are used for payroll.

Questions people ask

An employee forgot to clock out. What happens?

The session stays open, so the person continues to appear under Active Time Sessions until it is resolved. A manager should confirm the person has left, speak to them, and add a note explaining what happened.

An employee forgot to clock in. Can it be fixed on the clock-in screen?

No. The clock-in screen only records live actions. A manager checks the rota, adds a note on the attendance record, and handles any correction through the normal review process for worked hours.

A PIN is not being accepted. What should we check?

Ask the employee to confirm they are entering the correct four to six digit PIN. If it still fails, an authorised manager or director should check the PIN set up on the employee record.

Can more than one session exist on the same day?

Yes. An employee may clock out and back in, or work a split shift, so several sessions in one day can be perfectly normal.
