How the home adds a Family resident, authorises a relative, and issues a personal link and six-digit PIN.

What this area is for

This is the home’s job. A manager opens Family Portal from ÁitFoirne, then gives one relative their own door.

A relationship label such as son or daughter is only a description. Access is a separate yes.

The Family PIN is shown once. Stand with the relative, or telephone them privately. Never write it on a whiteboard.

Before you start

  • Sign in with your own ÁitFoirne management login.
  • Open Family Portal.
  • Have the relative’s correct name and a safe way to give them the link.
  • Do not create a Family resident if you meant the Clinical file. They are separate.

Step-by-step: set up one relative

  1. Open Family Portal from ÁitFoirne.
  2. Add or open the Family resident.
  3. Add a connection for the relative. Write their name clearly.
  4. Authorise that connection. This is the yes that grants access.
  5. Issue the personal link and the six-digit Family PIN.
  6. Copy the link and the PIN separately. The PIN is not kept on the page after you leave it.
  7. Give both to that person only.
  8. Ask them to open the link once while you are still available, so you know it works.

If the PIN is forgotten

  1. Open the same connection.
  2. Rotate or reset the Family PIN.
  3. Show the new PIN once, privately.
  4. The old PIN stops working.

If access should stop

Use the matching action on the connection:

  • Revoke the credential if the person should no longer get in.
  • Reactivate only when the home has agreed that access should return.

If a person should no longer be authorised at all, end the authorisation as well as the PIN.

Questions people ask

Can one PIN be shared by the whole family?

No. Each authorised person needs their own connection, link and PIN.

I am the Director of Nursing. Why can a Healthcare Assistant not issue PINs?

PIN and authorisation belong to Family management. Floor staff may show a moment to the resident if they have a Family Presenter or Coordinator role. That is not the same as issuing access.

Does this open Clinical for the family?

No. Family Portal never shows Clinical notes, assessments, care plans or medicines.
