Understand audit action plans

How corrective Action Plans move from submission to approval, return, evidence upload and completion.

Administrator

What this area is for

The Reviews & Action Plans tab is where you manage corrective work found during audits. When a finding needs follow-up, the employee submits an Action Plan and you decide what happens next.

Action Plan statuses

  • Awaiting Review — an Action Plan the employee has submitted for your decision.
  • Return to Employee — sent back with feedback when more work is needed.
  • Approved — In Progress — you have approved the plan and work is underway.
  • Completed — the corrective work is finished.
  • Closed Action Plan — cancelled or no longer needed.

What managers can do

  • Review plans waiting in Awaiting Review.
  • Return a plan to the employee with clear feedback.
  • Approve a plan so work can proceed.
  • Read internal comments that are visible only to administrators, never to employees.
  • Check evidence files employees upload to prove the work was done.
  • Use bulk review to act on several plans at once; you always confirm before applying.

Step-by-step: review a submitted plan

  1. Open Reviews & Action Plans.
  2. Find the plan under Awaiting Review.
  3. Read the employee's proposed corrective work.
  4. Check any uploaded evidence.
  5. Approve the plan if it is adequate, or return it with feedback if more work is needed.
  6. Follow the plan until the corrective work is marked Completed.

Finding evidence

Evidence appears on the relevant Action Plan and is summarised in Calendar & Reports. Keep exported or printed reports with your own compliance records.

Important notes

  • Only plans the employee has submitted appear under Awaiting Review. Draft plans and plans already decided sit in other states.
  • Closing the parent audit requires every Action Plan to be resolved and every manager review to be finished.
  • Reopening an audit does not change Action Plan statuses.

Questions people ask

What happens when an audit check fails?

Findings that need corrective work are followed up through Action Plans. The employee submits a plan, you review it, and evidence can be uploaded to show the work was done.

Why can I not see an Action Plan in Awaiting Review?

Only plans the employee has submitted appear there. Draft plans and plans already decided are in other states.

Where can I find uploaded evidence?

Evidence appears on the relevant Action Plan and is summarised in Calendar & Reports.

What is the difference between an Audit and an assigned staff audit?

An Audit is the overall exercise you set up. An assigned staff audit is one employee's individual copy of it.
